The General Ledger account codes can be configured to accommodate simple or complex account structures. This is accomplished by using up to 50 alphanumeric characters, containing up to six distinct segments. The actual account code reference for each item in the Chart of Accounts can be any segment.
Once the segment structure has been set, and ledger accounts created, it cannot be changed easily without re-creating the database from scratch or having your Jiwa Solution Provider change that for you at the database level.
Each ledger account number is defined as a Parent or Posting account. Transactions are only accepted to a Posting account and where more than one segment is used for the account number, postings will consolidate to a Parent account. The greater the number of segments, the more parent accounts required to facilitate the consolidation.
The examples used throughout this documentation are based on a three segment account code. The first segment is the account code, the second the warehouse e.g. - 100 and 200 and the third the branch e.g. - 01,02, 03 etc.
Type | Account | Warehouse | Branch |
---|---|---|---|
Parent - Primary Consolidation | 1200 | 000 | 00 |
Parent - Secondary Consolidation | 1200 | 100 | 00 |
Posting | 1200 | 100 | 01 |
Posting | 1200 | 100 | 02 |
Parent - Secondary Consolidation | 1200 | 200 | 00 |
Posting | 1200 | 200 | 01 |
Posting | 1200 | 200 | 02 |
Posting accounts do not need to be at the same level - e.g. warehouse in the above example. Where secondary consolidation at a level is not required for some accounts -e.g. bank accounts, the structure would look like:
Type | Account | Warehouse | Branch |
---|---|---|---|
Parent - Primary Consolidation | 6000 | 000 | 00 |
Posting | 6000 | 100 | 00 |
Posting | 6000 | 200 | 00 |
New ledger accounts can be created:
Creating a new ledger account within JIWA 7 at the posting level i.e. 1009-200-01 will automatically create all the Parent accounts - eg. 1009-000-00 and 1009-200-00. The segment details are established in the General Ledger Configuration form.
