Credit Restrictions

The two credit restrictions on debtor accounts are:

Credit limits are set in the debtor record. When this amount is exceeded, a message will display when the debtor is selected on a new sales order or during data entry on the order warning that the account has exceeded the limit.  The operator still has the authority to continue with the order, save it and process.

When the account has a credit status of On Hold, set either manually in the debtor record or updated at End of Period processing, the sales order cannot be saved until the status of the debtor account is taken off Hold.

The sales order can be saved as Document Type ‘Reserve Order’ if the Invoicing system setting AllowSaveToOrderWhenDebtorOnHold is set. The system setting determines which messages will display when selecting the debtor account on creation of a new sales order depending on the Invoice Type of the order:

Steps

1. Cancel the sales order; OR

Re-instate the debtor status, (Refer: Managing the Debtors, Credit Issues) and select the debtor name again from the search window to allow the system to recognise the change in status; OR

2. Save the form as an order; AND

Re-instate the debtor status and change to an invoice and save when appropriate

When credit limits are exceeded as order lines are being added to a sales order, a message displays:

“ Account now over the credit limit”

You can still continue with the order, and another message appears when saving:

“ Account over credit limit.  Proceed with saving?”

1. Yes - to save the order
No - to cancel the order
